Set up once, use all week
A useful AI workspace is simple: one approved tool, one place for your reusable prompts, and one habit for checking sensitive information before you paste it anywhere.
1. Choose your safe starting point
Use the AI assistant your organization has approved. If you are using a personal account, begin with low-risk practice: public information, made-up examples, or notes with names and confidential details removed.
Do not paste private client information, passwords, health information, financial details, or anything your workplace policy says must stay in another system. When in doubt, summarize or anonymize first.
2. Create a tiny prompt library
Open a note called AI Workday Prompts. Add three headings: Write, Plan, and Research. You will improve this note as you go; it does not need to be polished today.
Save this first reusable prompt under Write:
Turn these rough notes into a clear email. Keep my tone warm and direct. Use short paragraphs, include a specific next step, and flag any missing information instead of inventing it. Notes: [paste notes]
3. Add a quality-check habit
Before you use any AI output, pause for sixty seconds:
- Check facts, dates, names, and numbers against your source.
- Remove anything that sounds more confident than the evidence supports.
- Rewrite the first and last sentence in your own voice.
- Confirm the message asks for or delivers the right next step.
4. Run a five-minute test
Pick a real but low-risk email you need to write this week. Give the tool your rough notes and the prompt above. Compare the draft with your normal starting point. Keep the parts that save time; edit the rest.
Your workspace is ready when you can find one prompt you trust, one place to save improved prompts, and one clear boundary for what you will not share with AI.
